Job Description:

Parsons is looking for an amazingly talented Process Specialist to join our team! In this role you will get to ensure the creation, maintenance, and optimization of high-quality process documentation across the organization.

This role is essential in improving operational efficiency, supporting compliance, and ensuring that process documentation is clear, accurate, and up-to-date. What You'll Be Doing;

  • Create and maintain comprehensive process documentation for all operational procedures, workflows, and systems.
  • Ensure that process documentation is clear, concise, and accurate, following standardized formats and best practices.
  • Update existing documentation to reflect process changes or improvements, ensuring the most current and relevant information is always available.
  • Develop and implement standardized templates for process documentation to ensure consistency across the organization.
  • Work closely with department heads to gather information and ensure that documentation accurately reflects all processes and workflows.
  • Identify opportunities for process improvement and make recommendations to streamline workflows and enhance efficiency.
  • Maintain a well-organized system for storing, accessing, and tracking process documentation.
  • Ensure compliance with industry standards and regulatory requirements by maintaining up-to-date records.
  • Support audits by providing timely access to relevant process documentation and ensuring it meets compliance standards.
  • Collaborate with cross-functional teams to ensure that process documentation meets the needs of all stakeholders.
  • Communicate clearly and effectively with departments to ensure they are informed of any updates or changes to process documentation.
  • Provide support and training to staff on how to properly use and adhere to process documentation.
  • Conduct regular reviews of process documentation to ensure accuracy and alignment with organizational goals.
  • Monitor and evaluate process effectiveness and identify areas for improvement.
  • Recommend enhancements or changes to documentation practices based on feedback and performance metrics.
  • Oversee and maintain the Document Management System (DMS) for all process-related documentation.
  • Ensure proper version control and access management to protect sensitive information and prevent unauthorized access.
  • Track and report on the status of documentation projects, ensuring that all deadlines are met.
  • Provide regular updates to management regarding the status and quality of process documentation.
  • Use data and metrics to improve the efficiency and effectiveness of the documentation process.
  • Create detailed process maps and workflows to document and visualize processes for better understanding and optimization.
  • Use tools such as flowcharts, diagrams, and visual aids to represent processes in a clear and accessible manner.

What Required Skills You'll Bring;

  • Bachelor’s degree in Business Administration, Operations Management, or a related field.
  • Minimum of 3 years of experience in a process management, documentation, or operational support role.
  • Proven experience in creating, maintaining, and optimizing process documentation.
  • Experience with document management systems (DMS) and process mapping tools (e.g., Visio, Lucidchart).
  • Strong attention to detail and ability to produce high-quality, accurate documentation.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and documentation software.
  • Excellent organizational skills with the ability to manage multiple projects and meet deadlines.
  • Strong written and verbal communication skills, with the ability to translate complex processes into clear and understandable documentation.
  • Familiarity with process mapping and process improvement methodologies (e.g., Lean, Six Sigma).
  • Knowledge of document control procedures and best practices for versioning and access management.
  • Certifications in process management, quality assurance, or related areas (e.g., Six Sigma, Lean).
  • Experience in implementing and managing document management systems or electronic document control systems.
  • Experience in process mapping and workflow optimization.
  • Familiarity with compliance regulations and standards related to documentation in your industry (e.g., ISO, FDA).
  • Knowledge of digital documentation tools, project management tools, and collaborative platforms (e.g., Confluence, SharePoint).
