Job Description:

Parsons is looking for an amazingly talented Document Control Lead to join our team! In this role you will get to oversee the document control function on the project, ensuring that all documents are properly recorded, stored, and distributed to the relevant parties in a timely manner. This role requires strong leadership, organizational skills, and a deep understanding of document management processes.
The Document Control Lead will implement best practices, and ensure compliance with industry standards, all while improving processes and systems to drive efficiency.

What You'll Be Doing:

  • Serves as the document control job leader, providing technical guidance to lower-level Document Control Specialists assigned to the project.

  • Reviews work produced to ensure timely and accurate results.

  • Completes performance evaluations for those assigned.

  • Implements document/data management solutions with a primary focus on document control and records management.

  • Administers data/document management applications.

  • Processes one or more document types through all procedural steps in accordance with well-defined procedures and guidelines.

  • Ensures that pre-established document control requirements (e.g., which document numbering system will be used; how many and which signatures will be required for certain approvals, etc.) are satisfactorily met throughout the duration of the project.

  • Receives, tracks, and monitors documents using standard document management programs to register documents, maintain databases, and produces logs, transmittals, and other reports as required.

  • Enters data and produces reports using other standard office automation or department-specific computer applications.

  • Initiates and replies to routine correspondence related to area of responsibility.

  • Keeps abreast of department technologies, techniques and services relevant to area of responsibility.

  • Works with other staff members as needed to develop and improve services.

  • Responds to changing technology environment and participates in decision making activities relating to customers' needs.

  • Provide assistance to users in capturing and locating electronic information.

  • Maintains an established data distribution system and schedule for the assigned project based upon client, project, department, and supplier requirements.

  • May revise system or schedule as required to ensure timely approvals and distribution.

  • Expedites review, signature approval, and release of supplier and internally produced documents.

  • Verifies retention requirements, arranges document cataloging, packing, and long-term storage or disposal of appropriate documents at time of closeout.

  • Manages scheduled destruction of archived documents according to company and/or Client guidelines; provides assistance with document retrieval. 

  • Assists junior document control staff to ensure effective implementation of project-specific procedures.

  • Serves as liaison between support group, home office and field personnel.

  • Interfaces with groups inside and outside the organization.

  • Delegates and directs the work activities of project document control team.

  • Performs other duties commensurate with functional level and responsibilities.

  • Contributes as a team player who is deadline driven and works well with others.

What Required Skills You’ll Bring:

  • Bachelor’s degree in Business Administration, Information Management, Engineering, or a related field.

  • Minimum of 5 years of experience in document control or records management, with at least 2-3 years in a leadership or supervisory role.

  • Proven experience in managing document control systems and teams for large-scale projects or organizations.

  • Experience with document management software such as Aconex, Procore, SharePoint, or similar platforms.

  • In-depth knowledge of document control procedures, standards, and regulations (ISO, industry-specific standards).

  • Strong organizational skills, with the ability to manage large volumes of documents efficiently.

  • Excellent attention to detail, ensuring accuracy and completeness of all documents.

  • Ability to lead and manage a team, ensuring productivity and compliance with project deadlines.

  • Strong communication skills, both written and verbal, to facilitate communication with stakeholders at all levels.

  • Proficiency in MS Office Suite (Word, Excel, Outlook) and familiarity with document management systems.

What Desired Skills You’ll Bring:

  • Certification in document control (e.g., Certified Document Controller or ISO 9001) or records management.

  • Strong knowledge of legal and regulatory document retention requirements.

  • Familiarity with document control systems and project management and enterprise resource planning (ERP) software.
