KEY ACCOUNTABILITIES & ACTIVITIES
Key Responsibilities
- Deputise for the Senior Projects Manager, (On-Site Welfare & Office Facilities) and the Projects Manager, (On-Site Welfare & Office Facilities), in their absence.
- Create and implement plans, policies, and procedures to streamline NEOM THE LINE Development Area Facilities operations and ensure maximum functionality and safety of all facilities.
- Ensure that the Contractor and service provider has developed and implemented policies and procedures related to facility management and O&M operations.
- Responsible for managing and overseeing the Contractor and service providers in the development, implementation and maintenance of Development Area Facilities. This includes but is not limited to the management and delivery of welfare facilities such as dining facilities, break-out/rest areas, W-Cs/Toilets, Office space and cleaning services.
- Ensure that the Contractor and service provider has established and is managing maintenance schedules and programs, including preventative maintenance, corrective maintenance, and emergency repairs, to minimise downtime and disruptions to services.
- Oversee and manage the Contractor and service provider, their maintenance staff, set priorities, and ensure that resources are sufficiently allocated.
- Conduct regular inspections of the Contractor and service provider to ensure compliance with company policies, health and safety, environmental regulations and building codes, identifying issues and implementing solutions as necessary.
- Ensure that accurate records are maintained by the Contractor and service providers and report on key performance indicators.
- Collaborate with other departments, such as HR, Construction and Logistics to maintain a high level of employee satisfaction within the Development Area Facilities.
- Maintaining positive relationships with internal and external stakeholders, including maintenance technicians, engineers, and service delivery staff, to promote effective communication and collaboration.
- Maintain customer confidence by ensuring confidentiality of company data as required.
- Assess and take steps in accordance with the Statement of Work, (SoW), that ensure the Contractors and service providers are responding to inquiries and complaints in accordance with the SoW.
- Analyze, summarise, and interpret data; make appropriate recommendations and decisions related to document management, write reports, and give oral presentations as required.
- Plan, organise, prioritise and perform multiple tasks to perform job functions in an orderly manner.
- Participate in meetings and communicating updates and information to team members and other stakeholders as needed.
- Provide leadership and guidance to team members and stakeholders.
- Additional tasks and special projects as assigned by the Head of On-Site Welfare Facilities.
BACKGROUND, SKILLS & QUALIFICATIONS
Knowledge, Skills, and Experience
- Knowledge of ALL principles and processes involved in overseeing and managing Facilities Operations & Maintenance (O&M) services.
- High level of experience in Facility and Project Management and the ability to manage multiple priorities and deadlines.
- Previous experience in the development, implementation and maintenance of facilities Services across various construction sites.
- Familiar with building systems and equipment.
- Excellent understanding of local and national regulations impacting O&M services.
- Knowledge of principles and processes for providing excellent customer services.
- Knowledge of health and safety regulations and industry best practices.
- Experience of maintaining and updating records and documentation related to Facilities (O&M) services.
- Ability to analyze, summarise and interpret data and use that information to inform strategic decision-making.
- Excellent problem-solving skills with an ability to provide step-by-step detailed advice and solutions for remedying failures in service delivery.
- Excellent communication skills, both written and oral, with an ability to articulate clearly and concisely. English proficiency is required, (both written and oral).
- Strong knowledge of MS Office Suite, Google Suite and relevant facilities management software.
- Ability to work in a fast-paced environment that requires handling multiple tasks at a given time and rapidly adapting to changing priorities and schedules.
- Team player with the ability to work independently under minimal supervision.
- Cross-cultural sensitivity with an international perspective.
- Professional maturity and irreproachable integrity are obligatory.
- Familiarity with contracting and contract language.
Qualifications
- Successful completion of a Bachelor’s Degree in Facilities Management or a related field is preferred but not essential. Additional experience may be considered in lieu of a degree.
- Minimum ten (10) years experience working in a similar role, in austere environments is desirable. Experience with O&M in a government or military environment is a plus.
