In this role, you will provide program office support for the Parsons T5 Program Office, with a focus on staffing management, hiring coordination, onboarding support, project tracking, reporting, and coordination across program leadership, project teams, talent acquisition, subcontractors, and other stakeholders. This position will help maintain organization, visibility, and execution discipline across a large, fast-moving FAA support program. This position is remote/virtual; however, candidates should be within a reasonable drive from Kansas City, as this position will require travel to KC for onboarding events one to two times per month.

T5 Program Summary: The Federal Aviation Administration awarded the Technical Support Services Contract 5, T5, to Parsons in April 2023. Parsons is the prime contractor. This $1.8+ billion contract has a 4-year base period with two 3-year options. The statement of work includes a variety of activities that support the FAA’s Capital Investment Plan, certain reimbursable programs, the FAA NextGen Program, national security programs, and aviation safety. Work includes site selection and engineering, construction, environmental and fire/life safety, equipment installation and testing, drafting, contract surveillance, and other technical services as required. Work is performed across the nation in each of the FAA’s nine regions, as well as the Aeronautical Center in Oklahoma City, Oklahoma, the Technical Center in Atlantic City, New Jersey, and several U.S. territories.

What You’ll Be Doing:

  • Support program office coordination activities for assigned T5 workstreams, including staffing management, hiring coordination, onboarding tracking, project reporting, and administrative support.
  • Maintain staffing plans, personnel trackers, requisition status logs, onboarding trackers, interview schedules, action item logs, and other program management tools.
  • Coordinate with program leadership, project managers, Talent Acquisition, Human Resources, subcontractors, and functional support teams to help track staffing needs and hiring progress.
  • Support candidate coordination activities, including interview scheduling, feedback tracking, status updates, and communication between hiring teams and recruiting partners.
  • Assist with onboarding activities for new personnel, including coordination of start dates, required documentation, equipment needs, system access, training requirements, and program orientation materials.
  • Track project and staffing data to support leadership visibility into open positions, filled positions, pending starts, onboarding status, personnel changes, and upcoming staffing needs.
  • Prepare and maintain reports, dashboards, spreadsheets, meeting materials, presentations, and other program office deliverables.
  • Support meeting coordination, including agenda preparation, meeting notes, action item tracking, follow-up coordination, and status reporting.
  • Assist with project controls activities, including schedule tracking, budget inputs, labor forecasts, cost reporting support, and progress monitoring.
  • Help identify potential schedule, staffing, onboarding, or coordination issues and elevate them to program leadership for resolution.
  • Coordinate information across multiple internal teams to ensure accurate, timely, and consistent program reporting.
  • Support development and maintenance of program processes, procedures, templates, trackers, and communication routines.
  • Assist with quality control of program documentation, staffing records, reports, and deliverables.
  • Perform other responsibilities associated with this position as may be appropriate.

What Required Skills You’ll Bring:

  • Bachelor’s degree in engineering, construction management, business, project management, human resources, communications, or a related field, or equivalent experience.
  • 3+ years of related work experience in project coordination, program support, project controls, staffing coordination, administrative coordination, operations support, or a similar role.
  • Strong organizational skills with the ability to manage multiple priorities, trackers, deadlines, and stakeholder requests at the same time.
  • Strong written and oral communication skills with the ability to coordinate effectively with technical and non-technical audiences.
  • Proficiency with Microsoft Office tools, including Excel, PowerPoint, Word, Outlook, and Teams.
  • Experience preparing reports, spreadsheets, presentations, meeting notes, action item logs, schedules, and status updates.
  • Ability to work with program leadership, project managers, recruiting teams, HR representatives, subcontractors, vendors, and other internal stakeholders.
  • Ability to handle sensitive personnel and staffing information with professionalism and discretion.
  • Familiarity with project schedules, cost tracking, staffing plans, project documentation, and program reporting.
  • Must be able to meet customer security requirements. A background check by federal authorities may be completed.

What Desired Skills You’ll Bring:

  • Experience supporting FAA, aviation, transportation, defense, federal contracting, or other mission-critical programs.
  • Experience supporting large programs with geographically dispersed teams, multiple workstreams, and complex staffing requirements.
  • Experience with hiring coordination, onboarding support, requisition tracking, candidate scheduling, personnel tracking, or workforce planning.
  • Experience supporting project controls functions, including schedule tracking, cost tracking, labor forecasting, earned value support, or project reporting.
