Job Description:

Parsons is looking for an amazingly talented Project Administrator to join our team! In this role, you will be the operational “glue” for a major transportation-related program in Riyadh Saudi Arabia—coordinating schedules, documentation, stakeholder communications, and logistics so our technical teams can deliver the project’s assessment, guideline development, framework, and advisory workstreams on time and to spec. You will help orchestrate reporting cycles and approvals that span traffic signal operations, TCC operations, ITS, multimodal, enforcement, and implementation frameworks.

What You'll Be Doing:

  • Calendar & workflow coordination for multi-agency meetings, workshops, field surveys, audits, trainings, and review boards; maintain master schedules, track milestones, and flag risks or bottlenecks for leadership.
  • Drive the monthly, quarterly, and final reporting cadence: compile inputs, format and quality-check figures/tables, manage approvals, and submit to the client’s channels in line with scope requirements (Monthly Progress Reports, Comprehensive Evaluation Reports, Framework documents, O&M documents, Technical/Operational Manuals, Final Report).
  • Document control: register, version, and archive correspondence, minutes, submittals, RFIs, action logs, and deliverables; maintain both digital (EDMS/contract management) and hard-copy libraries aligned with project standards.
  • Meeting support: prepare agendas, briefers, and executive summaries; take minutes with clear decisions/action owners/due dates; track closure.
  • Stakeholder liaison: coordinate with RCRC, Parsons teams, contractors, and partner entities to align schedules, inputs, and approvals; maintain contact lists and distribution groups.
  • Logistics & onboarding: arrange room bookings, access permits, travel support for field teams, visitor passes, and onboarding checklists; maintain team rosters and training/qualification trackers consistent with the capacity-building agenda.
  • Template governance: maintain branded templates (reports, slide decks, registers), numbering schemes, and style guides to ensure consistency across all guideline/framework deliverables.
  • Data hygiene: perform basic QA checks on tables, KPIs, and attachments prior to submission; ensure cross-referencing and annexes are complete.
  • Support organizational framework documentation (role definitions, RACI updates, job description registers) and associated approvals.
  • Compliance & audit readiness: maintain evidence logs (attendance, approvals, transmittals) to support quality, coordination, risk/issue tracking, and audit trails per the scope.

What Required Skills You'll Bring:

  • 8+ years of administrative/project coordination experience supporting large, multi-disciplinary programs (public sector or infrastructure preferred).
  • Expert calendar and meeting management across senior stakeholders; proactive milestone tracking and follow-up discipline.
  • Strong documentation skills: formatting, version control, approval workflows, and archiving across EDMS/contract management systems; mastery of Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Reporting cadence experience (monthly/quarterly/final), with an eye for detail and consistency across technical guidelines/framework deliverables.
  • Excellent written and verbal communication; able to draft correspondence, minutes, and executive summaries for leadership.
  • Excellent verbal and written communication skills in Arabic and English are required.

What Desired Skills You'll Bring:

  • Familiarity with engineering terminology and deliverables (signals, TCC operations, ITS, multimodal, traveler information, enforcement) would be beneficial.
  • Experience coordinating capacity-building activities (training schedules, records, and certifications).
  • Comfort with project/collaboration platforms (e.g., MS Project, Asana/Trello, SharePoint/Teams) and simple KPI tracking dashboards.
  • High integrity, discretion, and reliability when handling sensitive information; strong problem-solving and service mindset in fast-paced environments.
