Parsons is looking for an amazingly talented Executive Assistant to join our team! Would you enjoy supporting company executives to deliver a better world? Parsons is now hiring a Strategic Executive Assistant for the EMEA Executive leadership team.
In this role you will act as a liaison across the MEA Executive Leadership Team, organize and coordinate executive outreach and external relation efforts and oversee special projects as well as perform selected secretarial and administrative support activities for a senior level executive. As many of these tasks are highly confidential or sensitive in nature, we need our Executive Assistants to exercise good judgment and discretion in the execution of all duties and responsibilities.
This position is intended to be an early career development opportunity for a motivated individual, and will provide rapid exposure to the leadership team, the inner workings of the organization and the industry in which Parsons operate. Successful tenure in the position will open up other development opportunities across the wider Parsons business and/or constitute a springboard for an advance degree. The nature of the role may require some flexible working and outside normal working hours availability, even though every effort will be made to minimize it.
Responsibilities:
- Receives and screens visitors, telephone calls, and mail. Personally responds to as many inquiries as possible, referring remaining inquiries to appropriate individuals within the company for timely responses.
- Prepares correspondence and reports, much of which is confidential in nature. Composes non-routine correspondence from brief notes or verbal instructions and composes replies to routine correspondence on own initiative.
- Initiates drafts of replies to other correspondence or inquiries for review by executives.
- Proofreads and/or reformats drafts of documents created by executives for spelling, grammar, and clarity of communication so that final correspondence is signature ready.
- Schedules meetings, conferences, and appointments; establishes and maintains calendar of events and keeps executive informed of commitments.
- Makes arrangements for and hosts visiting dignitaries. Makes travel arrangements, coordinating airline and auto rental reservations, hotel accommodations, and expense reports. Represents the company and its Executives in a positive and professional manner
- Prepares meeting agenda, reports, files, and other materials for meetings.
- May generate presentation graphs or charts using various graphics software.
- Establishes and maintains follow up files and confidential files for immediate supervisor.
- Initiates routine and nonroutine reports as appropriate. Researches and compiles statistical information and related data, produces special or recurring reports, and completes special projects as assigned. Produces and distributes data in graphic, spreadsheet, or narrative format.
- Establishes and maintains databases as required.
- Keeps current on all corporate policies and procedures. Serves as focal point for gathering newly published policies and the dissemination of materials.
- Performs other responsibilities associated with this position as may be appropriate.
Qualifications:
- Bachelor degree in Business or Engineering or related field.
- Superior English communication skills, both written and spoken.
- Arabic: reading and speaking required, writing preferred
- Ability to interact with a diverse range of people in a confident and professional manner.
- Proficient at Microsoft Outlook, Excel, PowerPoint and Word.
- Superior organization skills, acute attention to detail and sense of urgency..
- Demonstrates clear thinking and ability to develop solutions.
- Experience working in a similar role will be advantageous.
- World travel experience would be advantageous
