Job Description:

Parsons is seeking an organized and detail-oriented Document Control Manager to lead and oversee the document control process for major infrastructure buildings projects. In this role, you will be responsible for managing the flow of project documentation, ensuring accuracy, consistency, and compliance with company and client requirements. You will work closely with project teams, clients, contractors, and other stakeholders to maintain efficient and secure document management systems that support the successful delivery of high-value infrastructure projects.

What You'll What You'll Be Doing:

  • Establish and maintain a robust document control system to manage all project documentation, including correspondence, contracts, drawings, reports, and submittals.

  • Ensure the secure storage, retrieval, and distribution of documents in compliance with project and company standards.

  • Implement and manage electronic document management systems (EDMS) to improve efficiency and accuracy.

  • Develop and enforce document control procedures, ensuring consistency and adherence to contractual and regulatory requirements.

  • Perform regular audits to verify compliance with established document control standards.

  • Ensure the timely review, approval, and distribution of documents to relevant parties.

  • Coordinate with project teams, clients, and contractors to ensure the smooth flow of documentation across all stakeholders.

  • Track document workflows and provide status updates to project leadership.

  • Serve as the primary point of contact for document control queries and requests.

  • Verify the accuracy, completeness, and formatting of all project documentation.

  • Maintain version control to ensure that only the latest, approved documents are distributed and used.

  • Monitor the lifecycle of documents, ensuring they are archived or disposed of appropriately.

  • Lead and manage a team of document control specialists, ensuring high performance and adherence to processes.

  • Provide training and guidance to project staff on document control procedures and systems.

  • Foster a collaborative and efficient working environment within the document control team.

  • Generate and distribute regular reports on document control metrics, such as submission status, turnaround times, and compliance levels.

  • Identify and implement opportunities for continuous improvement in document management practices.

What Required Skills You'll Bring:

  • Bachelor’s degree in Business Administration, Information Management, or a related field (preferred).

  • Minimum of 10 years of experience in document control, including at least 5 years in a leadership role for large-scale infrastructure or building projects.

  • Familiarity with relevant industry standards and best practices in document control.

  • Strong organizational and multitasking skills, with attention to detail and accuracy.

  • Excellent knowledge of document control software and tools, such as Aconex,.

  • Exceptional communication and interpersonal skills to liaise effectively with stakeholders at all levels.

  • Demonstrated ability to lead a team and implement process improvements.


What Desired Skills You'll Bring:

  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel.

  • Working knowledge of Electronic Document Management Systems.

  • Good written and oral communication, organizational, and interpersonal skills, as well as a demonstrated ability to interact effectively with project personnel and management.
