Job Description:
Parsons is looking for an amazingly talented Document Controller Lead to join our team! In this role you will get to manages and oversees the organization, tracking, and distribution of project documents, ensuring accuracy, accessibility, and compliance with company and regulatory standards.
SPECIFIC RESPONSIBILITIES:
Manages the document control process, ensuring that all project documents (drawings, specifications, contracts, reports, etc.) are properly organized, archived, and accessible to the relevant stakeholders.
Oversees the creation, revision, and approval of documents, ensuring that they are accurately tracked, stored, and updated as needed.
Establishes and enforces document control procedures to ensure consistency and compliance with project requirements and company standards.
Coordinates the distribution and submission of documents to clients, contractors, and internal teams in a timely and efficient manner.
Reviews project documents for accuracy and completeness, ensuring that all necessary approvals and signatures are obtained.
Provides training and support to project teams and junior staff on document control procedures and software tools.
Develops and maintains a document tracking system, ensuring that all documents are stored in an organized and easily accessible manner.
Works closely with project managers, engineers, and other stakeholders to ensure timely document flow and prevent delays.
Ensures compliance with company policies, regulatory requirements, and industry standards for document management.
Assists in auditing and reporting on document control activities, identifying areas for improvement, and implementing solutions.
Performs other duties related to document management and control as required.
KEY RELATIONSHIPS:
Supervision Received: Project Managers, Senior Document Control Managers
Supervision Given: Junior Document Controllers, Administrative Staff (technical guidance only)
Internal Contacts: Project teams, engineering, construction, and management teams
External Contacts: Clients, Contractors, and Document Management Vendors
EDUCATION/EXPERIENCE:
Bachelor's Degree in Business Administration, Engineering, or a related field
Typically 5+ years of experience in document control or related roles, with experience in managing large project documentation
Familiarity with document management software (e.g., SharePoint, Aconex, Procore) preferred
SKILLS/COMPETENCIES:
Strong organizational, communication, and leadership skills
Proficiency in document management systems and software tools
Attention to detail and the ability to maintain accurate and up-to-date records
Knowledge of industry standards and best practices in document control
Ability to work efficiently under pressure and meet tight deadlines
