Senior Administrative Assistant - Parsons
If you are an organized and motivated individual with a talent for administrative work, Parsons has an opportunity for you! The Administrative Assistant plays a critical role in supporting the successful execution of complex gas infrastructure projects. This position is responsible for performing clerical duties in support of Company employees. The Administrative Assistant may be assigned to specific personnel or tasks or may be asked to perform functions for multiple groups, gas replacement projects and collaborating with internal and external stakeholders throughout all phases of project delivery—including planning, design, execution, monitoring, and closeout.
Responsibilities:
- Administrative functions as assigned (including but not limited to reconcile invoices, duplication services, prepare and maintain spreadsheets and tracking documents, enter into and recover data from SAP, etc.)
- Maintain and organize project documentation in support of work projects and/or programs
- Coordinate correspondence and distribution of project documents. Administrative functions as assigned (reconcile invoices, populate spreadsheets, enter data into SAP, etc.)
- Gather, collate and/or assemble documents, scan documents and/or compile data into electronic formats on mass storage devices as directed and deliver to Company representatives according to agreed upon timeframes.
- Provide weekly/monthly updates on project costs, progress, and any issues
- Communicate any observed non-compliance or safety concerns immediately
- Promote a safety-first culture and adherence to the Accident Prevention Manual
- Collaborate with internal/external stakeholders to resolve invoicing/billing issues
- Ensuring a safe work environment through process and procedure adherence and safety metrics
- Considers innovative ways to undertake work, promoting automation and efficiencies in day-to-day work streams
- Works with senior leadership on the risk definition, cost, and the mitigation action analysis.
Qualifications:
- High school diploma (or equivalent) and typically 3+ years of relevant work experience.
- Proficient in Microsoft Office: Excel, word, outlook
- Proficient in Maintaining updating and accuracy of spreadsheets
- SAP experience and experience with delivering project orientation to new project related personnel is preferred
- Understanding of quality assurance processes and implement with project structure.
- Proven ability to work in a team environment
