Job Description:
We are seeking a detail-oriented and organized Facilities Administration and Coordination Specialist to join our team. This role is pivotal in ensuring the smooth operation and maintenance of our facilities, supporting both the administrative and logistical needs of the organization. The ideal candidate will have a strong background in facilities management, excellent communication skills, and the ability to work collaboratively in a dynamic environment.
Facilities Management:
- Oversee the day-to-day operations of company facilities, ensuring they are well-maintained and meet safety standards.
- Coordinate with vendors and service providers for maintenance, repairs, and improvements.
Administrative Support:
- Manage facility-related documentation, including contracts, maintenance schedules, and compliance records.
- Develop and maintain a comprehensive database of facility assets and resources.
Coordination and Communication:
- Serve as the primary point of contact for facility-related inquiries and issues.
- Coordinate with various departments to ensure facility needs are met efficiently and effectively.
Logistics and Scheduling:
- Plan and schedule facility usage, ensuring optimal allocation of space and resources.
- Organize and oversee the logistics of office moves, renovations, and other facility projects.
Safety and Compliance:
- Ensure compliance with health, safety, and environmental regulations.
- Conduct regular inspections and audits to identify and address potential safety hazards.
Team Collaboration:
- Work closely with the facilities team to implement best practices and improve operational efficiency.
- Assist in training and mentoring junior staff members to ensure adherence to company policies and procedures.
Continuous Improvement:
- Identify opportunities for process improvements and cost savings in facility operations.
- Contribute to the development and implementation of facility management strategies.
Preferred Education/Experience:
- High school diploma (or equivalent) required; additional certifications in facilities management or related fields are a plus.
- 4-8 years of relevant work experience in facilities administration or management.
- Strong organizational and multitasking abilities, with a proven track record of managing multiple projects simultaneously.
- Excellent communication and interpersonal skills, with the ability to work effectively in a team-oriented environment.

- Proficiency in standard office software and facility management systems.
- Ability to adapt to changing priorities and work under tight deadlines.
