Job Description:

Parsons is looking for an amazingly talented Document Control Lead to join our team! In this role you will get to manage all aspects of document control, from organizing and storing project documentation to ensuring compliance with regulatory standards and company policies. This role requires a detail-oriented professional with significant experience in document control and a strong understanding of the construction and airfield project industry. The ideal candidate will excel in managing a document control team, collaborating with multiple project teams, and ensuring the smooth flow of critical documentation throughout the project lifecycle.

What You’ll Be Doing:

1. Document Control Management:

  • Oversee the document control system, ensuring that all project documents are properly categorized, filed, and stored in accordance with the project’s document management procedures.

  • Ensure that project documentation is easily accessible to authorized personnel while maintaining confidentiality and security of sensitive documents.

  • Coordinate and ensure timely document submissions from vendors, contractors, and internal teams, including drawings, contracts, change orders, and correspondence.

2. Document Distribution and Tracking:

  • Manage the distribution of documents to the appropriate stakeholders, ensuring they are up-to-date and correct versions.

  • Track document flow, monitor document revisions, and ensure that all versions of documents are properly logged and updated.

  • Maintain an effective filing system, both physical and electronic, to ensure efficient document retrieval and prevent duplication of efforts.

3. Quality Control and Compliance:

  • Ensure that all documents adhere to company and regulatory standards, including industry-specific compliance and quality control procedures.

  • Review documents for completeness, accuracy, and consistency, ensuring that all required information is included and that formatting is standardized.

  • Work with project managers and teams to ensure all document control procedures are followed throughout the project lifecycle.

4. Document Version Control:

  • Implement and maintain document version control to ensure that the latest revisions of documents are always accessible to the team.

  • Track and control the approval process for documents, ensuring that all stakeholders review and approve documents before they are finalized.

  • Ensure that all document updates are communicated to relevant stakeholders to prevent the use of outdated versions.

5. Reporting and Documentation Audit:

  • Generate regular reports on document status, submission deadlines, and document compliance to support project managers and stakeholders.

  • Conduct regular audits of document control processes to ensure that the document management system is functioning efficiently and in compliance with project requirements.

  • Ensure all project documents are archived and ready for project closeout, including maintaining a comprehensive record of all final documentation for future reference.

6. Team Leadership and Training:

  • Lead and manage a team of document controllers, providing guidance and training on best practices, software tools, and company policies related to document control.

  • Foster a collaborative environment within the team, ensuring effective communication and the timely completion of document-related tasks.

  • Conduct performance reviews, set team goals, and provide ongoing mentorship to ensure continuous professional development of team members.

7. Collaboration with Other Departments:

  • Work closely with project managers, engineers, procurement teams, and contractors to ensure timely and accurate documentation exchange.

  • Coordinate with external stakeholders, such as regulatory bodies, auditors, and clients, to ensure that all required documentation is provided as needed.

What Required Skills You’ll Bring:

  • Education: Bachelor’s degree in Engineering, Construction Management, Information Management, or a related field. Relevant certifications in document control, such as Certified Document Control Professional (CDCP), are a plus.

  • Experience:

    • 8-12 years of experience in document control, preferably in the construction or infrastructure sector, with experience in airfield or large-scale infrastructure projects.

    • Extensive knowledge of document management systems (e.g., Aconex, Procore, SharePoint) and best practices in document control processes.

    • Strong background in handling project documentation, including drawings, reports, contracts, and other technical documents.

  • Skills & Knowledge:

    • Proven ability to organize and manage a high volume of project documentation in both physical and electronic formats.

    • Strong attention to detail, with the ability to spot errors and discrepancies in documents and resolve issues promptly.

    • Excellent communication and interpersonal skills, with the ability to work effectively with a variety of stakeholders, both internally and externally.

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management software.

    • Ability to manage multiple priorities and work under pressure to meet deadlines in a fast-paced environment.

What Desired Skills You’ll Bring:

  • Certifications: Professional certifications in document control (e.g., Certified Document Control Professional (CDCP)) or project management (e.g., PMP) are a plus.

  • Experience with Construction Software: Familiarity with construction project management software (e.g., Procore, Aconex, etc.) and the ability to manage document flows digitally.

  • Leadership Skills: Proven experience leading a team, setting clear goals, and ensuring the effective completion of tasks.

  • Experience in Airfield Projects: Prior experience in airfield or airport construction projects would be an advantage.

  • Process Improvement: Experience in streamlining document control processes for better efficiency and cost-effectiveness.
