Parsons is looking for an amazingly talented Document Controller/Admin (Saudi National) to join our team! In this role you will coordinate project document and records management services for all aspects of a project from start-up to closeout. This includes providing on-demand request services to the Project Director, functional managers, and other project staff. Ensures that document control system is administered and maintained in accordance with Parsons and client procedures.
What You'll Be Doing:
Reviewing for Document Control Compliance and Submitting Project Documents and tracking the workflows and following up on overdue documents
Responsible for all the submittals, letters, and received packages
Work closely with the other stakeholders Document Controller(s) and provide the required direction and support.
Submit recurring Weekly/Monthly reports and ad-hoc reports.
Update Document Control systems and tools such as ParDocs with incoming / outgoing submittals, letters, and correspondences.
Initiate Workflows (WF) related to the technical & non-technical documents or submissions.
Support project team with the required and related information.
Follow up with the project stakeholders for outstanding WF, documents, submittals.
Coordinate and arrange DC weekly meeting for his respective project.
Update and issue document control logs.
Implement the documentation and the EDMS procedures and guidelines.
Support quality team regarding the weekly updates to reports.
Resolves non-routine help desk issues and inquiries related to document controls (e.g., resolving access issues).
Provides on-demand request services to the Project Director, functional group leads, and other staff.
Creating/formatting customized electronic libraries in SharePoint for collaboration and document management.
Identifies and coordinates document control resources to support program team members and serves as a liaison to client counterparts.
Administers and maintains mailbox traffic, electronic documentation, incoming record logs, project library, distribution lists, and permissions and security groups.
Provides backup support to document control staff for processing daily incoming mailbox traffic.
Attend weekly progress stakeholder meeting if needed.
Support the Sr. DC with the required information, reports and other related business requested either by the client or the core team.
Perform administration related tasks such as maintenance of Leave Tracker and Directory, Timesheets, Sign-in sheets, Org Charts, office, invoice and vehicle management.
What Required Skills You'll Bring:
High school diploma (or equivalent) from an accredited university/ institution.
Preferably 3+ years of related work experience with at least typically 1+ years in document controls (or an equivalent combination of formal education and work experience).
Expertise in Aconex (or any other EDMS) and SharePoint a must. Experience in Power BI a plus.
Knowledgeable of document control work processes and utilization of electronic systems for document management, as well as corporate procedures related to document management.
Excellent written and oral communication skills, and a thorough knowledge of industry practices and company policies and procedures are required.
Must also possess a thorough knowledge of database concepts, project-related software, and the ability to train others in its use.
